The existing visitor management process at Corvin ONE Offices - a class A office building located in the largest business center in the downtown of Budapest - proved difficult to precisely monitor the visitors’ traffic in the facility. Finding an easy-to-use software solution that would manage visitors itself was the highest priority when looking for a visitor management system for Future al Group (the first owner of the building). Streamlining guests’ registration to ensure an efficient sign-in process, replacing unsecured paper logbooks, and increasing security in the building was equally important.

Challenges before the implementation

Prior to implementing Singu Guestbook, there were multiple challenges such as:

  • The ineffective and time-consuming process of manual visitor registration via logbooks
  • Queues at the reception desk and required lots of help by a receptionist for visitor management
  • Difficulties in visitors tracking and inability to provide quick reports on visitors to higher management

Solution

With a simple configuration and easy to use features for administrators, employees as well as Corvin ONE Offices’ visitors, Visitor Management System Singu Guestbook met the challenges and initial requirements of the client. The implementation started in the second half of April 2018 and successfully ended at the end of June 2018.So far, the Singu Guestbook system has registered almost 30 thousand visitors of 14 tenants’ companies in the building.

Guest registration has been improved by installing two self-service iPad stations that can manage an unlimited number of visitors, replacing the manual and time-consuming visit check-in procedures. One of the iPads has been installed at the main reception desk, whilethe second one in the special all-in-one kiosk which contains both iPad and DYMO printer to automatically print personalized badges with a QR code. This kiosk was installed on the other side of the building, where the second reception desk is located. Singu Guestbook has been integrated with QR code scanners and access control system in the building.

Consequently, registered visitors simply scan the QR codes on their mobile invitations or on printed badges to open turnstiles or revolving door. This improves not only their movement through the building but also increase security. With dedicated dashboards and sophisticated reporting tools, Singu Guestbook resolved problems with tracking who was on and off-site keeping a real and actual log of all visitors.
