1. Logging In

1.1. I cannot login to the application

Login given during the registration process serves users in the login process. If after entering login and password we receive „incorrect login data” message, it means that we are using an incorrect password or the password has been changed. If we type in the wrong password five times, the system will block our account. It is worth using change password option first. To do this:

- click “I forgot my password” on the login screen, fill the login and confirm with „Change password” button:

- wait for an email to come at your account and click „Change password” (warning: if an email does not come it may mean your account is already blocked and you need to contact the administrator of the application, it is usually the manager of the building or technical support):

1.2. Why has Singu blocked access to the system?

After five failed login attempts Singu FM will block access to the account. This is dictated by safety reasons. In this case only the administrator can reset the password. Usually it is the manager of the building or building service, like technical support. Information about the contact person will be displayed once access to the application is lost.

2. Permanent Passes

2.1. How to change vehicle’s license plate number in „Permanent passes”?

To change license plate number, you need to:

- Go to module – Guestbook, then Permanent passes

- Find license plate number

- Use “pencil” icon

2.2. How to order a new permanent pass?

Permanent pass in Singu application allows entry/exit and entrance/exit into the premises. All people owning a permanent pass are on a list – Permanent passes.

Tenants have the possibility to order new RFID labels for their employees and permanent suppliers. Technical support or building security is responsible for ordering of new labels. Once the RFID label is done the tenant will be notified via email.

In order to add a new permanent pass, you need to:

- Go to module: Permanent passes

- Choose „+ Add” button

In the new pass tab, you need to:

- Choose reading technology for permanent passes

- License plate number + RFID:  new label RFID order (recommended option)

- License plate number: reading through LPR cameras, no RFID label issuing

- QR Code: first registration based on QR Code

- Complete license plate number or e-mail address (in case of QR code)

- Complete first name and family name (optional field)

- There is a possibility to set the validity date of the newly created pass

- Confirm introduced data with „Save” button

2.3. How to deactivate permanent pass?

Deactivation of permanent passes is based on the validity date of the indicated pass.

To deactivate a permanent pass (e.g. RFID label) you need to:

- Go to module: Permanent passes

- Find license plate number

- Use “minus” icon

- Choose between options, immediately or from date indicated in the „Deactivate” modal popup (in case of immediate deactivation of the permanent pass, the validity date will be set to the previous day and the pass will be immediately deactivated)

- Confirm introduced changes with „Save” button

Method II (available to users responsible for issuing RFID labels):

- Go to module: Permanent passes

- Find license plate number

- Use “pencil” icon

- Unmark „Valid indefinitely” button

- Choose expiry date in the calendar

- Confirm introduced changes with „Save” button

2.4. How to accept ordered RFID label in the system (option available to persons responsible for operating the system)?

When the tenant orders RFID label for his employee, inputting a unique RFID number and accepting ordered pass will be necessary. Accepting ordered label can be done by persons responsible for its distribution.

Labels awaiting acceptation have a darker background and are placed at the top of the table.

Issuing RFID labels to tenants can be done in two ways:

- When empty RFID tag pool was input to Singu system by Velis company (without using the reader)

- When empty RFID tags are to be scanned using the reader in order to generate a unique label number

To issue and accept ordered label you need to:

 Go to module: Guestbook -> Permanent passes

 Choose “+” icon in RFID column

 Choose subsidiary number from „Choose subsidiary_no” field  

* in case no subsidiary number is available on the list, you need to order new RFID labels pool from Velis company

To issue and accept ordered label, you need to:  

- Go to module: Guestbook -> Permanent passes

- Choose “+” icon in RFID column

- Put the RFID label to the reader and generate RFID number

After confirming the chosen pass, the tenant will receive an e-mail confirming its acceptance.

3. Reception - Prebooking

3.1. How to make guest reception?

The Guestbook module offers a possibility to invite guests to the logistic park. Reception invitation contains valuable advice regarding date and place of the meeting with a location map.

To make reception and send invitation to the guest, you need to:

- Go to Guestbook module -> Reception of Guestbook (for tenants)

- Use “Prebooking” button

In the next step you need to fill in data about the person you invite to the meeting – host:

- Full name

- E-mail address

Confirm introduced data with “Add guests” button.

In the next popup you need to insert information about the date of the meeting and the invited guest.

- Date and time of the meeting

- License plate number (automatic entry of the guest to the premises due to LPR technology)

- Full name of the guest

- E-mail

- Notification language

Making a long-term reception is possible with „Multiple entry” option.

- Choosing last day of the visit

Confirm introduced date with “Send” button.

3.2. How to make multiple reception – import?

Multiple reception is possible by making prebooking import.  To perform this particular process, you need to download xls template from Singu application, complete it and import.

Individual steps:

- Go to Reception module -> Guestbook

- Click on “Prebooking - import” button

- Click on “Export template” button  

- Complete downloaded template (fill in host data: full name, e-mail and guest’s data: meeting date, time; guest’s full name, e-mail address, license plate number)

- Import completed template (Prebooking – Template popup)

- Choose company

- Choose building

- Choose completed file in the „Choose file” field

- Click “Import template”

3.3. How to find persons invited to the meeting?

In the menu, choosing Guestbook. Table showing current visits also contains future visits. To see persons, whose arrival is planned, you need to choose option “Show future visits” in the “Other” section.

3.4. How to see full entry history in Guestbook?

To see past visits that were completed (have exit date), you need to:

- Go to Reception module -> Guestbook

- Tick “Include completed” checkbox

- Choose “search” button – magnifying glass

4. Administrative Changes

4.1. How to set up an account for a new tenant’s employee?

To set up a new account for an employee, you need to:

- Go to Companies module -> Tenants/Customers -> List

- Find tenant’s company and go to given company’s tab

- Go to “Persons” tab and choose „Add” button

In add new persons popup you need to complete: first name, family name, e-mail, login (recommended: beginning of e-mail address).

Choosing “add” button will automatically add user to Singu application and send notification via e-mail.

4.2. How to deactivate existing employee account?

To deactivate employee’s account, you need to:

- Go to Companies module -> Tenants/Customers -> List  

- Find tenant’s company and go to given company’s tab

- Go to Information tab -> Persons

- Use „pencil” icon next to the chosen person

- Change „Active” field and „Login” into „NO” in user data edit popup

- Confirm introduced changes with “Change” button

4.3. How to restart employees’/remaining users’ password?

To reset blocked account, you need to:

- Go to Admin module -> Users -> List

- Search the appropriate person in the search bar

- Choose “key” icon

- In the “Change login data” keep „Generate random password” field ticked or give temporary password (in both cases the user has to set new password in his account)

- Confirm changes with “Save” button

After completing the steps, the user will receive an e-mail with the possibility to set new password to Singu application. After setting new password the account will be unlocked.

4.4. How to deactivate a company that no longer is a tenant?

To deactivate tenant’s company, you need to:

- Go to Companies module -> Tenants/Customers - List

- Choose particular company from the list

- Go to edit company’s tab using „Edit” button

4.5. How to add new tenant’s company to Singu system?

To add new company to application, you need to:

- Go to Companies module -> Tenants’ Customers -> Add company

- Complete company’s name in “Company name” field

- Choose building (from the dropdown)

- Upload company’s logo (recommended in case of SSD Singu system or Guestbook)

- Confirm introduced data with “Add” button

5. Entry/Exit Guidelines. RFID Labels

5.1. Why does a camera icon appear upon my entry?

Camera icon informs about license plate reading using LPR camera technology.

When the driver has RFID label installed, he is handled by 2 technologies: RFID antennas or LPR cameras. Displayed icon informs about the priority of one of two technologies. RFID antenna is characterised by a greater reading efficiency, however LPR camera can read the license plate number quicker in some cases. In this case, camera icon will be displayed.

5.2. Why has the system read license plate number wrong using LPR camera?

In this case, the driver was read using LPR camera technology. LPR camera reading depends on weather conditions and license plate condition. License plate number reading efficiency in good weather conditions is estimated at around 70%. Security employees have the ability to correct incorrectly read license numbers. Due to the above RFID labels installation is recommended, which is characterised by about 90% reading efficiency.

5.3. What happens when the LPR camera does not recognise the license plate number and the vehicle does not have RFID labels?

Security employee should manually input license plate number of the vehicle into the system and assign tenant.

5.4. What happens when the employee forgets or does not stick RFID label?

In case the situation refers to employees or suppliers from the system, they will be properly identified upon arrival and let into the park premises thanks to LPR camera technology – based on vehicle’s license plate number. You need to remember that the reaction time in case of license plate number reading using LPR camera is longer and reading efficiency is lower compared to RFID technology.

5.5. What happens when employee/permanent supplier arrives in a different vehicle?

In this case, the vehicle is treated as a guest. The employee can make reception in the system taking his new license plate number into account or input the license plate number permanently into the application’s database.

In case the employee does not have RFID label, you need to order label using SSD Singu platform, Permanent passes module. Access to the platform is granted to employees submitted by tenants.

5.6. What happens when the employee changes his car?

Ordering new RFID label in Singu application is the recommended solution. How to order RFID label – see chapter „Permanent passes – how to order RFID label for employee”.

In case the driver has unused RFID label ready for a different vehicle, you need to find it in Permanent passes module and change license plate number to the new one – see. “How to change license plate number in permanent passes” (the administrator, technical support or in some cases tenants have the ability to edit license plate numbers).

5.7. What happens when the employee/supplier is not in the SSD Singu system?

Such a vehicle is treated as a guest. Ground will not open automatically. Security worker should assign the vehicle to an appropriate tenant this one time.

In case the employee does not have RFID label, you need to order label using SSD Singu platform, Permanent passes module. Access to the platform is granted to assigned tenants’ employees.

5.8. Can I stick RFID label on a different vehicle?

Issued RFID label should be installed on a vehicle to which it was registered to. Otherwise there will be discrepancies in the system at the moment of reading.

If the registration number has been changed before the label installation, you should change it in Singu application in “Permanent passes” module. Access to the application is granted to tenants’ employees and technical support, together with the Park Manager.

5.10. Does the label leave any glue residue on the vehicle’s windshield?

The label does not leave glue residue on the vehicle’s windshield. Glue is very delicate.

5.11. Where to install RFID tag on motorbikes?

Flat surface on the front part of the vehicle is recommended.

5.12. RFID Tag does not work

You need to check if the vehicle is equipped with heated electric window technology or has polarised glass and follow RFID label installation manual.

In case the vehicle is not equipped in the above technologies, sticking the label in a different place or ordering a new RFID label is recommended.

5.13. Does the system register people walking in?

Velis Real Estate Tech has solutions based on registering pedestrian movement using QR codes. QR readers presence by front gates indicates the availability of this solution at the selected facility.

5.14. Does a vehicle assigned one time by the security worker has to be assigned once again?

Yes. Assigning guest’s vehicle to a tenant is required every time, even when the vehicle with the same registration number has already been assigned.

5.15. How to check which vehicles require RFID label issuing?

Information about this topic was placed in a quick report in the Singu application. Access to Reports module is assigned to administrators and authorised persons.

- Go to Reports module –> Quick reports

- Click on “Frequent entries without permanent pass” report

- Choose buildings complex

- Choose entry date range “from-to”

- Mark „Export XLS” checkbox in case you wish to generate xls document

- Click “Show”

Generated report shows vehicles with the highest number of entrances at the top.

We can move to „Permanent passes” module from the generated report window. The possibility to issue RFID label or only to save license number is possible there.

How to check if drivers stuck RFID labels?

Information on this subject is presented in quick reports in Singu application. Administrators and authorized persons have access to Reports module.

- Go to Reports module -> Qucik reports

- Click on an „Active permanent passes without entry in the last 14 days” report

- Tick „Export XLS” checkbox when you want to generate xls document

- Click “Show”

When the vehicle has RFID tag number but does not have a registered date of the last entry – the driver does not use the issued RFID tag.
